agenda. >> Okay, let's call the meeting to order. So, the first order of business, Mon, you want to give us the minutes?
>> Yeah, sorry I couldn't be down there with you guys. Um, but this is the next best thing, I guess. Okay, so sent out the minutes. I'd like to um motion for approval of the minutes from the previous 9:15 meeting.
>> Any questions on the minutes? So motion to approve the minutes? >> Motion to approve. >> Okay. Second. All in favor? Okay. Minutes are approved. Joanna, you're up.
>> All right. My turn. um total of eight property transfers and account updates were completed during this past month of September. There are currently 35 active home listings within the community. Um last month I attended 11 meetings um which included board committee meetings, contractor consultations, and project coordination meetings. And you guys listened to me from the last meeting. I did not respond to 2786 emails this last month, but only 1,586.
So, thank you. >> Um the phone calls did go up a little bit though. answer responded to 524 phone calls before we get there. So, >> so okay. So, what was the what was the variance reason for the variance? >> Um, well, I did get a lot of emails saying, I'm gonna stop emailing you so much and listen to what they responded thanks. And they said, well, thank you.
>> I mean, that's quite a delta. Some somebody got the message. >> Yeah. Well, last month we had a lot of a lot of the emails last month. I felt or this past month prior um was a lot of these new bills that were getting submitted and the contractors were never or they have not build at last. So we were getting a lot of um potential buyers wanting to come in but they wanted their plans reviewed before they considered um you know finalizing the contract and I didn't really know how to
handle that. So, there's a lot of communication between me, the builder, and David, um, helping me kind of address how we handle that. And then again, you know, well, where's the guidelines? I have the guidelines, but what about this? And I don't know if you refer to page 85.
>> So, ARC reloading. >> Yeah. >> Yeah. Okay. Total of 12 chapel events were held this past month. Um, for ARC, we had two meetings during September on the 8th and the 22nd. Um 13 applications were approved with 10 additional applications currently under review.
Actually, I think right now I was at 11. We got another one today. Um 17 application or 17 um homes remain under construction. Three are in the queue for review. Um >> so does that mean that of that 13, three of them were for built building homes or is it more of that >> uh three sorry three. So 17 homes are under I rephrase that wrong now. Sorry.
So 17 homes are under construction and three were just recently submitted. They're um custom homes, custom build homes. >> Um aside from that, um continue to provide guidance and coordination to property owners, builders, and contractors throughout throughout the architecture review and approval process.
uh for communications coordinated and distributed welcome emails to all 2026 2027 POA committees included including updated welcome letters and committee rosters to help kick off the new committee year. So thank you D for that.
>> Did that seem to go go over well for people appreciate getting >> they did >> good. That was kind of a new thing we did. Right. >> Yeah. I I was very happy that we did. So we got some good feedback on >> Good idea.
>> Yeah. um continue to collaborate with committee to establish clearer posting guidelines to improve communication channels and encourage greater homeowner participation. Um assisted and still assisting with member directory improvements and coordination of additional enumerate support for community relations. Um we had a busy month with um Blue Ridge Water Communications and proxy coordination.
um continued to assist with ongoing updates to the service provider directory, including collection and organization of vendor information. Um coordinated realtor activity reporting and reviewed existing check-in procedures to improve tracking communication with visiting real estate professionals. And we continue to collaborate with the committee to review and update the realtor information packets, including community resources, contact information, and visitor guidance.
Um, for finance, we continue to um oversee invoice processing, including reviewing expenses, ver verifying account coding, and coordinating payment submissions. Um, 82 accounts remain in collections, including 15 that are associated with previous property or lot owners. Um, so far for the 2026 2027 fiscal year, collections has collected $39,75868.
Um, we continue to monitor delinquent accounts and coordinate collection efforts to recover the remainder outstanding assessments. Uh, for infrastructure, continue meeting with contractors to address roadway rate concerns, coordinate maintenance needs, and keep projects moving forward.
Assisted with ongoing infrastructure projects, including contractor scheduling. That sounds redundant. Sorry, I should have fixed that. All right. Number C. um continue to work closely with Jesse to address to address property owner concerns, falling trees, roadway maintenance, and other common area maintenance.
>> How many how many roads did we end up having trees fall over with that tropical Jesse? 12. Um but he said that he had gotten reports over he started that Saturday at 9:00 in the morning was getting calls from the guard house about trees fallen. So the ones that was reported to me, I encountered about 12.
Yeah, and there's still some that we're picking up, too. Um, we just got notified of I think they he took care of the one on Raven by the new construction house 811 and there was also another one reported on Micah Flats yesterday as well.
Um, for the Mel committee coordinated planning for the conflower trail water tap um to support irrigation of the lower plumbly summit hillside and future landscaping and planning projects. coordinated followup with followup on the hemlock treatment program including property owner communications and outstanding treatment requirements. Um next step we will be will be to finalize treatment. Um continue work with Johnson's landscape and Jesse Burns to
address invasive vegetation tree maintenance and other landscaping concerns identified throughout the community. Uh for safety and security, we continue to work with the committee on visitor management system operations, including vendor communications, demonstrations, and follow up on proposed improvements.

>> Young running financially >> doing okay. Uh just under first while I was just looking is is >> too.
>> Hey, good afternoon everybody. Can you hear me? >> Yeah. >> Yep. >> Yeah. It's amazing technology these days. I'm on the I40 uh on the road again with my friends here going to Nashville. So, I'll uh if um if part of this doesn't come through for some reason, uh Joanna and Joe can kind of fill in some details uh here. Let me get
started if I can. So, the uh overall good news is that we remain on budget >> um with the milk budget for this year, just getting started, but most things seem to be in line uh on our budget. a few highlights and things to discuss. Uh if you notice around the mountain, we have planted our fall winter seasonal plantings mostly with pansies
um which uh I think we do in the past and always look very good. Felicity Flowers um always does a nice job for us. So you should see those uh in most of the key areas, the pansies um decorating and uh the seasonal flowers here. Um just and some of this may be a little redundant to what Joanna said, but our invasives have been treated
including the atlanths. Perfect timing this time of year when the sap starts to recede from the atlanths trees and Randall was very uh proactive and collegial with us to get it done in the perfect timing here. There was uh one complaint from somebody on the board about kudzu up on moccasin falls which
we brought in a outside contractor. Uh again, this is uh this kudzu stuff almost has to be nuked in order to get rid of it. So um he is very professional. He got started last week.
It's going to be a three-year program um in order to get rid of it and all the underlying ryzones which are on it. And hopefully the one person on the board will be very happy that it's being done on his street here. Uh >> uh also want to say nothing from the minister.
>> No names, please. >> Yeah, it's a little hard for me to hear, so I'm I'm going to probably talk non-stop here, but I'll I'll try to catch it. I'm on my cell phone. Anyway, as far as a few other things go, our hemlocks have been um treated this spring and survey done this fall and more importantly um per previous board
