TubeTranscript is operated by Unidata Innovation Technology Ltd in Hanoi, Vietnam ("we"). This page explains what we collect when you use tubetranscript.io, our API or our MCP servers, why we collect it, and the choices you have. If anything here is unclear, write to legal@tubetranscript.io and a person will answer. The Tube Transcript browser extension is a separate product and is covered in its own section.
The short version
- Free and guest transcripts are public. A transcript made without an account, or on the free plan, gets a public page that search engines can index. Pro transcripts stay private to your team.
- We do not sell personal data or show ads. Google Analytics is optional and starts only after you accept analytics.
- We do not train our own models on your transcripts.
- We never see or store your card details. Stripe handles payment.
- The Tube Transcript browser extension works in your browser. It has no account and sends nothing to us. Details below.
What we collect
Your account
Your email address, an optional name, your team name and a protected form of your password that we cannot read back. We also keep a record of account activity, such as sign-ins and password changes, so we can help if something looks wrong.
Your videos and results
For each video you submit we keep the link, the transcript and the video's public details (title, channel, publish date, length and thumbnail). When you are signed in, this is tied to your account and team. Anything you generate from a transcript, such as mind maps, threads, action items or brand voice profiles, is saved so you can come back to it.
Billing
Stripe processes payments. We keep only the references we need to manage your subscription: your plan, its status and your Stripe customer record.
Usage and reliability
We use your IP address to apply fair-use limits, including the limit of 10 transcripts (5 AI transcriptions) per 24 hours for visitors without an account. When something breaks, we receive an error report tied to your account ID so we can fix it. These reports do not include your IP address, cookies or the content of your requests.
Cookies
We use an essential cookie to keep you signed in. If you accept analytics, Google Analytics also uses cookies to measure visits and use of our transcript tools. Advertising consent remains disabled. A few interface preferences, such as a webhook address you asked us to remember, stay in your browser and never reach our servers.
Aggregate traffic statistics
We count views of public pages regardless of your Google Analytics choice. Your browser sends only a page category and a broad traffic-source category to our own server. We add these to daily counters; the statistics table does not store individual visits, IP addresses, visitor identifiers, cookies, account details, video URLs or raw referrers. These counts cannot identify unique visitors or sessions. Known bots are filtered, but automation and blocked requests can affect accuracy.
We keep up to 90 days of daily statistics, clearing older counters when new views arrive. Hosting systems still receive connection metadata and may keep operational logs under their own configuration; this aggregate counter does not change those existing logs.
Optional analytics
We load Google Analytics only after you accept it. It measures page categories, tool starts and outcomes, successful copy/download actions and navigation clicks on public pages. Our analytics events do not include transcript text, video titles or IDs, account details, private dashboard routes or URL query strings. Google processes browser/device information, cookie identifiers and connection metadata; this is not an anonymous service. Google may process this data outside your country. See Google's privacy policy.
We remember your analytics choice in this browser for up to 180 days. You can withdraw consent using in the footer. Declining keeps Google Analytics disabled; withdrawing removes our Google Analytics cookies and reloads the page to stop the loaded tag. Contact us about analytics data already collected or retained.
What is published publicly
A transcript made as a guest or on the free plan is published under /c/, listed in our sitemap and open to search engines. The page shows the video title, channel, transcript and an automatically written summary and FAQ. It does not show who requested it. If a video should not become public, do not submit it on the free tier; Pro keeps transcripts private.
Who helps us run TubeTranscript
We share data only with the providers we need to deliver the service:
- Payments: Stripe receives your email and payment details when you subscribe or manage Pro.
- AI features: Google's Gemini models receive transcript text, and any writing samples you provide for a brand voice, to write summaries, FAQs and the AI features you ask for.
- Video data: we use YouTube and a caption-retrieval provider to look up a video's captions and public details. They receive the video link, not your personal data.
- Infrastructure: hosting, database, caching and error-monitoring providers process data on our behalf and only for running the service.
- Optional analytics: Google Analytics, only when you accept analytics cookies.
Speech recognition for videos without captions runs on our own systems, not with a third-party speech service. If you send a result to a webhook, it goes to the address you entered. Some providers operate outside your country, so your data may be processed abroad.
How long we keep it
- Transcripts and generated results: until you or the video's creator ask us to remove them.
- Temporary caches and usage counters: days, not months.
- API keys: until you revoke them, so a revoked key stays blocked.
- Account data: until you delete your account and ask us to erase it.
Your choices and rights
- Delete your account from the dashboard under Security. This signs you out everywhere and removes you from your team. To have your remaining records and transcripts erased as well, email legal@tubetranscript.io from the address on the account.
- Remove a public transcript by emailing its URL to legal@tubetranscript.io. If you created the video, see the removal process.
- Access, correct or export your data by emailing us. Depending on where you live, you may also be able to object to or restrict how we use it, and to complain to your data protection authority.
Security
We protect passwords and API keys so that we cannot read them back, and private transcripts are only available to the team that owns them. No system is perfectly secure. If you think your account has been compromised, change your password, revoke your API keys and contact us. Technical details are in the security reference.
Children
TubeTranscript is a tool for developers and professionals and is not directed to children. If you believe a child has given us personal data, tell us and we will delete it.
Tube Transcript browser extension
This section covers the Tube Transcript extension for Chrome. It is separate from the website: it runs in your browser, needs no account and does not connect to our servers. The other sections of this policy describe the website, API and MCP servers and do not apply to the extension.
What the extension stores, and where
- Highlights, notes and settings are saved in the extension's storage in your browser profile, together with the ID and title of each video you highlighted so the My highlights page can list them. They stay in that browser and are never sent to us or anyone else. YouTube's pages cannot read them.
- Transcripts are read from the captions YouTube loads for the video in your tab. The extension keeps them in session storage, which is cleared when you close the browser.
- Not encrypted by the extension. Chrome keeps this data in your browser profile on your device. The extension does not add its own encryption, so anyone who can use your device account or browser profile can see it. Protect them as you would your browsing history.
- We receive none of this. The extension has no analytics, telemetry, crash reporting or ads, and it does not load or run code from any server.
Permissions and why the extension needs them
- Storage: to save your highlights, notes and settings, and to keep transcripts for the browser session.
- Access to www.youtube.com: to add the Transcript button and sidebar to video pages and to read the captions YouTube provides for the video you are watching. The extension runs on no other site.
The extension makes network requests only to www.youtube.com, for captions, and to i.ytimg.com, for video thumbnails on the My highlights page. Caption requests come from your browser, as they do for YouTube's own player, and Google's privacy policy applies to them. Links to tubetranscript.io open only when you click them; that visit is covered by the website sections above.
What YouTube's page can see
- While you type in the sidebar, for example a note or a search, the YouTube page can observe the key presses, as it can for any typing on youtube.com. Notes and highlights you have saved cannot be read by the page.
- When highlight markers are on, the page can see where they sit on the progress bar and their colors, but not their text. You can turn markers off in the extension's settings.
Export, import and delete
- Export all highlights as a JSON file from the My highlights page, and import that file in another browser. Importing merges with the highlights already there and keeps the newer copy of each one.
- Delete all highlights from the My highlights page. Uninstalling the extension or clearing its data in your browser also deletes them. Nothing is stored on our servers, so export first if you want a backup.
Chrome Web Store User Data Policy
The extension's use of the information described in this section adheres to the Chrome Web Store User Data Policy, including the Limited Use requirements.
